The platform
We run one Vodia phone system for all of our clients, each in their own separate account. We run the platform ourselves, with every setting in our hands, so when something on it goes wrong we are the ones dealing with it.
Calls reach the public phone network through our carrier over two connections, one in Sydney and one in Melbourne. Sydney carries calls day to day. If it fails, calls move to Melbourne automatically.
What you get
Handsets that set themselves up
Yealink desk and cordless handsets if you want them. We maintain the setup templates, so a handset configures itself when it is plugged in.
The softphone, in a browser or as an app
Staff who would rather not have a desk phone can make and take calls in a browser or in the app on their mobile. Calls can also forward to a mobile number.
Auto attendants, queues and ring groups
A menu for callers, a queue so callers wait for the next person rather than hearing a busy tone, groups that ring the right desks, and different behaviour after hours, on public holidays, or whenever you flip a switch. Paging is there too.
Listen, whisper and barge
A supervisor can listen to a live call, speak to the staff member without the caller hearing, or join the call. Useful when a new receptionist is learning the ropes.
Voicemail to email
Voicemail can arrive in your inbox as an email, so a message left after hours is waiting when you start the day.
Teams calling and call recording
If your staff already live in Teams, we can set up calling in Teams on your business numbers. Call recording, with transcription on our own server, is set up per client where it is needed.
If you need the phones to work with your CRM, tell us which one when you send your bill. What is possible depends on the CRM, and we will tell you plainly what it does and does not do before you sign.
What we watch
A phone system often fails quietly. Nobody rings to say calls have stopped arriving, because nobody can get through. So we check the things that actually fail, every fifteen minutes, and the alerts come to us rather than waiting for you to notice.
What we check
- Calls stopping across the system
- A 1300 or 1800 number forwarded from another provider going quiet
- A recording that fails to save, checked against the audio itself rather than the phone system's own list
- Signs of toll fraud
Each becomes a ticket in our help desk.
Toll fraud, and how we watch for it
Toll fraud is someone getting into a phone system and running up calls to expensive numbers. The signs are calls to a country you have never called, calls to premium or satellite numbers, and sudden bursts of calls. We watch for all three.
Separately, we keep an hourly copy of every client's configuration, so when something changes we can see what changed and when.
Send us your phone bill
We read your last few bills, size the plan from them and tell you in writing what you would pay. How pricing works explains the shape of the quote.
